Administrative Assistant

Pennybacker is seeking a highly organized, detail-driven Administrative Assistant to support select members of our leadership team in our Austin headquarters. This role is designed for an experienced administrative professional who excels at juggling multiple priorities, creating order amid complexity, and operating with discretion at the highest level. While this position supports several leaders, it reports directly to Pennybacker’s Assistant to Leadership, providing opportunity to collaborate with two seasoned Executive Assistants.

Key Responsibilities

Executive & Leadership Support

  • Manage multiple complex and ever-changing calendars, coordinating internal and external meetings with precision and foresight
  • Support multiple leaders simultaneously while maintaining clear priorities and alignment with the Lead Administrator
  • Coordinate domestic travel, including itineraries, accommodations, and detailed logistics
  • Submit accurate, timely expense reports in accordance with firm policies
  • Prepare meeting materials, agendas, briefing documents, and follow-up items
  • Draft, edit, and manage correspondence, reports, and presentations with exceptional attention to detail and confidentiality
  • Support special projects, track action items, and ensure initiatives are carried out to completion
  • Serve as a reliable point of coordination between leadership, internal teams, and external vendors and clients
  • Maintain absolute confidentiality regarding sensitive company information, strategic initiatives, and personnel matters

Qualifications

  • 6+ years of administrative assistant experience, ideally within professional services, finance, or an investment environment
  • Proven ability to support multiple senior leaders simultaneously
  • Exceptional organizational skills with a demonstrated ability to manage competing priorities and shifting deadlines
  • Strong written, verbal, and interpersonal communication skills
  • High level of discretion and experience handling sensitive and confidential information
  • Proactive, resourceful, adaptable, and calm under pressure
  • Team-oriented mindset with a willingness to step in and support where needed
  • Flexibility to work extended hours during peak periods, including occasional early mornings or evenings
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel,PowerPoint)
  • Strong working knowledge of office systems, equipment, and administrativebest practices
  • Bachelor’s degree preferred or equivalent professional experience
